I. Why did NEGRON Consulting start a speakers group?
Organically, and through the strong relationships built with our clients over the past 13+ years, NEGRON Consulting has been often asked to help fill an ancillary need related to our services or to other segments of the client's business. Generally, the client has sought a respected and innovative voice that will both educate and motivate during a keynote address.
At NEGRON Consulting, we are striving to take a more curatorial approach to whom and how we present our network of thought leaders, as opposed to simply gathering, accumulating and promoting a group of speakers or bureau. As consultants, organizational development professionals and leaders, we all are exposed to and filter through large amounts of information, experiences and market conditions, to help guide us in providing the best recommendations or solutions for our clients.
By taking a curatorial approach, we are viewing this from a refined perspective, the way a museum, creative team, or luxury goods brand would present a 'selection of talent', that will deliver high quality experiences, motivational, relevant topics and moments of inspiration - i.e., passionate artists who will inspire audiences to move or identify the changes needed, as individual leaders and as a team. II. What are the benefits of using a speakers group?
The NEGRON Consulting speakers group is a resource for organizations, and the people who plan events, conferences, and special meetings. Organizations often work with speaker groups and bureaus because they could not possibly be aware of the best speakers for every situation.
While many speaker bureaus have hundreds or even thousands of speakers, it is unreasonable to expect their team to stay up to date on most of them. We know each of our speakers thoroughly and have relationships developed over years with many of them, giving us insight into potential match for your organization's goals for the event, technical requirements, and schedules. This means that we know each speaker's preferences and the factors that influence them. These factors include type of organization, audience or event, the location of the event, and promotional opportunities for book sales, just to name a few. We work with our speakers frequently, and can sometimes help you save on travel by tying into existing travel plans or find flexibility in their fee requirements.

VII. How are speaking fees determined?
A speaker's fee or honorarium vary widely on a number of different factors, including, but not limited to: the type of organization and nature of an event, the amount of travel required, the length and number of presentations, and demand for a speaker's services.
Keynote presentations are normally priced less than a half-day or full-day presentation. Local presentations are generally a lower fee than assignments requiring the speaker to travel.
At NEGRON Consulting we work with speakers of all price ranges. To find a speaker that fits your budget, explore the speaker profiles and contact us today to get recommendations and detailed information about an individual speaker's fees. We would be happy to discuss your event with you and find a speaker that meets your goals without exceeding your budget.
Please note: Additional expenses such as audio-visual equipment, airfare, ground transportation, accommodations, meals, and any out-of-pocket expenses are not included in the honorarium. Fees for international events are often subject to an incremental increase in cost.

VIII. How much time will the speaker spend with an organization?
Most speakers will participate in functions beyond a keynote speech, but the extent varies by speaker. Speakers will be available for the length of time agreed upon in the original contract, and all arrangements for a reception, Q&A sessions, product signings, photo opportunities, etc. must be included in the firm offer.

IX. Can we purchase books (or other products) written by the speaker for the event?
Yes. You are welcome to give away books written by the speaker. In most instances, NEGRON Consulting can even help provide you with books at a discount over the list price with bulk quantity orders. If you have the ability to purchase books one to two months ahead of time and distribute them to guests prior to the event, which is always preferred. We can facilitate the purchase of books and ensure they are shipped anywhere in the country.
X. Will the speaker be available for a photo session, sign books and autograph memorabilia?
This depends on the speaker and the timeline of the event, but typically our authors appreciate the opportunity to interact with your audience and sign books. Some have contractual obligations that preclude them from doing so. It is important to make your requests known in advance, before the contract is signed, to ensure that any special requirements are agreed to in advance and made part of the contract.
XI. Who arranges travel for the speaker?
NEGRON Consulting does not coordinate travel arrangements. All inquiries and arrangements must be handled directly with the speaker(s).
XII. Is it possible to record or webcast the speaker's presentation?
The preferences of our speakers vary. If you are interested in recording the speaker's presentation, a written request is required that will be passed along to the speaker for his or her approval. It is important to make your requests known in advance, before the contract is signed, to ensure that any special requirements are agreed to in advance and made part of the contract.
Most speakers approve recording at no additional charge for archival, internal purposes, and some are sensitive about recording. We do request that a copy of the video be shared with the speaker. In some cases, the speaker may wish to record the event for personal/promotional use, in which case the written request will be submitted to the event planner for approval.
XIII. What is the cost of NEGRON Consulting's speaker group service?
Clients only pay for the speaker's honorarium, expenses, and any potential product purchases. NEGRON Consulting offers support to ensure event success - providing speaker profiles, preview clips, promotional materials, coordinating schedules, and doing preparatory legwork. Our fee is included in the speaker's honorarium.
XIV. How far in advance should we start planning an event?
Appearances are booked on a first come, first serve basis and are at the discretion of the speaker(s). As each speaker manages his or her own event calendar, the best way to inquire about a speaker's availability is to use our "Project Planner" function via the button provided on the individual speaker's page.
Most of our speakers plan their schedules at least 3 months in advance. If you are looking to secure one of our speakers or host an event on a popular date, especially commemorative months, we advise that you begin planning much earlier as many of our top speakers have dates scheduled far in advance.
We know this is not always possible. NEGRON Consulting is experienced with working in much shorter timeframes and are adept at coordinating last minute bookings or replacement speakers in the case of an emergency cancellation.
XV. What if the client or the speaker has to cancel because of an emergency?
If the event is cancelled due to emergency, 48 hours notice is appreciated. NEGRON Consulting understands that some issues, such as weather, are out of an event planner's control, but the advanced notice will be beneficial for all parties. In the event of a cancellation, the deposit is non-refundable, though it can be applied to reserving the same speaker for a future event.
For all speaking engagements, we have a thorough planning process in place that ensures accordance with our speakers' schedules to proactively prevent any setbacks or cancellations. Thankfully, we have never had to deal with cancellations in our time referring and engaging speakers with clients. However, if a cancellation does occur, it is generally attributed to something that is out of the speaker's control - such as a sudden emergency or unforeseen circumstance. If a speaker has to cancel due to an emergency, we will work with you and every effort will be made to send an equally qualified and appropriate speaker along the same lines as the one that has been booked.
Our network of speakers, and beyond, offers many options in the case of an emergency, and our staff is ready to handle any last minute complications. No matter if the problem is weather related, changes in travel schedules, airport delays, on-site problems, etc., we will provide our expertise and leverage all of our resources immediately, to completely and efficiently resolve the problem. We are as committed to the success of your program as you are.

XVI. Will we be able to communicate directly with the speaker prior to the event?
Most speakers are open and willing to speak with an organization once they have been booked for a speaking engagement. NEGRON Consulting speakers always aim to deliver the most engaging, thought-provoking and impactful keynote possible. They will be happy to engage with someone at your organization prior to the event, as this may help them frame their speech to the goals of the event and to address your attendees specifically.

XVII. Can we preview a potential speaker before inviting them?
NEGRON Consulting will work with you to understand your event and programming needs. We can provide you with customized recommendations, and the information you need to properly evaluate each option for your event. The best way to preview our speakers is to view their online profiles and videos on our website. This is the fastest and easiest way to find the perfect speaker for your next event.

XVIII. How do we go about choosing the right speaker for the event?
NEGRON Consulting can help you narrow the range of choices since we are very knowledgeable of the strengths and abilities of our speakers. If you have a clear idea of what your objectives for the event are, the process can be made much more efficient. Possibly begin by asking your team some key questions:
Why is this event being held?
What do we want the attendees to know, think, or feel after this event?
What expectations will attendees bring to the event?
What issues, challenges, or opportunities are we facing right now?
How should this event build upon previous events?

XIX. How do we know a speaker will do a good job at the event?
NEGRON Consulting speakers have been selected with great consideration for their expertise, professionalism, and presentation skills. We guarantee that they are each powerful speakers and amazing people.
We also believe in preparation and engaging all key stakeholders. That is why we support the use of a pre-event briefs and questionnaires.

XX. Once we decide to utilize a NEGRON Consulting speaker, how do we proceed?
This is perhaps the most frequently asked question by our clients. The process is actually quite straightforward, consisting of the following basic steps:

Begin with our Project Planner, it is an easy to use tool that will help inform us of event contact details and, at a high-level, on the type, topics, audience, budget, dates, length, and goals of the event. Next we will schedule an Objectives Call, to discuss goals and we will then walk you through the process of Speaker Selection for your event.
NEGRON Consulting can work with you to schedule any speaker you have in mind, or we can make suggestions based upon your input. Once a speaker is agreed upon, we will send to you a Confirmation Sheet. This sheet will include specific details such as the event sponsor, date, fee, location and any other relevant information. By signing and faxing (or scanning and emailing) the Confirmation Sheet to NEGRON Consulting, this verifies your interest in the speaker and grants NEGRON Consulting the permission to present a firm offer to the speaker on your behalf.
The Offer is submitted to the speaker on your behalf and the speaker will review the terms of the offer. If the speaker is available on the requested date(s) and all other terms are acceptable, the signed offer will be returned to client and the parties will move forward in the process.
Upon acceptance of the offer, the necessary paperwork will be submitted to your organization. This paperwork includes the Contract for the engagement, invoices, publicity materials, and the Pre-Event Questionnaire.
One of the tools to ensure good communication between you, your speaker and our staff is our Pre-Event Questionnaire. This profiles the logistical and technical aspects of your event and allows you to outline the desired objectives for your event.
The Event Logistics Sheet is based on the final output of the online Event Questionnaire. It will help serve as an itinerary for your event, including information regarding hotel arrangements, flights, schedule of events, information on your organization and any other vital details. This also includes phone numbers to reach all parties should the need arise to discuss any last minute issues.
Our goal is to make your speaker-scheduling process run as smoothly as possible and to hopefully make it a bit more enjoyable! We are available to answer questions, offer ideas or just talk about your event and its progress. As the event approaches, you will be contacted by NEGRON Consulting to make any final preparations for your speaker's visit.
XXI. Will we need to provide a speaker agreement letter or contract?
Yes, in most cases the speaker will require a formal letter of agreement that confirms the arrangement including setting the name of the speaker, presentation topic(s), the event location, the date of the presentation, audio visual and stage requirements, and travel logistics, and fees. All negotiations are handled directly by the individual speaker(s).
Generally, the speaker's contract requires a non-refundable deposit of 50% of the speaking fee within 14 days of booking the speaker, with the balance due 14 days prior to the event date.
XXII. What type of pre-event briefing can you support?
NEGRON Consulting offers the Pre-Event Questionnaire, as a means of capturing the ideas, input, concerns, and opportunities from all of the key stakeholders in an event. Additionally, we will schedule a conference call between your organization and the speaker you have selected to provide you with an opportunity to share your goals for the event and anything not captured in the questionnaire.
This helps save time and money, and plots a course that people with differing opinions and objectives can follow. Most importantly, this results in a more impactful event.
XXIII. Can NEGRON Consulting provide materials to help promote the speaking engagement?
Yes. Please let us know what you need and we would be happy to provide everything available. Including, but not limited to, a speaker's photo, biography, product images, and so on.
XXIV. Can we provide any post-event feedback on the speaker?
Yes. We encourage the client's feedback on NEGRON Consulting speakers. There is a Speaker Evaluation questionnaire link that will be provided upon completion of the event to the key stakeholders who were identified during the lead up to the event for their completion.
Your input helps us with informing our speakers of their successes and opportunities. The feedback advises us to where the keynote matches an audience, objectives, and your organization's greater mission. It also informs both NEGRON Consulting and the client of what gaps exist between the pre-event goals and the actual event delivery. This helps in identifying which stakeholders can be better engaged in the planning process for future events, and what, if any, priorities may be shifting.
